Operations Manager

Full-Time · Shop + Office/Warehouse

What you'll do

Inventory, warehouse and store operations

-Own inventory accuracy across the store, warehouse and Shopify: receiving, transfers, counts and reconciliation
-Make sure incoming deliveries and outgoing orders are processed on time, every day
-Set up and maintain the processes, checklists and tools that keep the store and warehouse running smoothly
-Support the store team on operational matters and step in when things get busy

Shipping and brokerage

-Manage our relationships with carriers and customs brokers
-Negotiate shipping rates and service terms, and review carrier performance and costs regularly
-Troubleshoot delayed, held or damaged shipments with carriers, brokers and customers

Suppliers and accounts payable

-Manage accounts payable with our suppliers: match invoices to purchase orders and receipts, schedule payments, resolve discrepancies
-Coordinate inbound shipments from suppliers, including documentation for customs clearance

Efficiency and customer experience

-Work with the founder to find and fix the bottlenecks that slow us down or let customers down
-Use data from Shopify and our other tools to set goals, measure results and decide what to improve next
-Keep an eye on the full customer journey, from order to delivery to returns, and raise what needs attention

Reporting

-Provide a weekly operations update to the founder: inventory, fulfillment, shipping costs, payables and what you're working on
-Build simple, repeatable reports so the numbers are easy to track over time

What we're looking for

You'll need

-3+ years in retail or e-commerce operations, including inventory and fulfillment
-Leadership experience: you've managed people or a function and can get a small team working to a standard
-Hands-on experience with Shopify (orders, inventory, fulfillment) and customer service tools
-A track record of improving processes using data, and of setting goals and hitting them
-Very strong written and verbal communication; comfortable negotiating with carriers and suppliers, and comfortable giving a clear weekly update to the owner
-Organized and reliable: deadlines, deliveries and payments don't slip on your watch
-A problem-solver who takes ownership and would rather fix the root cause than work around it
-Comfortable with spreadsheets and basic reporting

Nice to have

-Experience with international shipping, customs brokerage or duties and import documentation
-Accounts payable or bookkeeping experience, or familiarity with accounting software
-Experience in independent fashion or menswear retail
-Experience with warehouse or inventory management systems, or with automation tools like Shopify Flow
